Privacy Policy

Effective date: 9 September 2026

1. Who we are

CÔNG TY TNHH CÔNG NGHỆ VẬT LIỆU COMPOSITE SIHE, a company in Vietnam, operates this website and manages its customer enquiries. “SIHE”, “we” and “us” mean this company. SIHE Management / Administration is responsible for customer-data handling. Contact sales@sihecomposites.com about this policy or your information.

2. Information we collect

Request for Quotation (RFQ): name, company or workshop, country, contact details and preferred contact method; request types, products or grades, quantities, units and notes. Depending on your request, this includes application, process, operating conditions, performance, production problems, colour matching or distributor information.

Contact: name, company, country or delivery region, email and other contact details, product interest, application, estimated quantity, requested documents and message, including optional colour-matching requirements. Contact has its own submission and storage process; it does not automatically create an RFQ record.

Related records include references, language, submission times, status and correspondence. Contact can record IP address, browser/device information, submission-page address and country inferred from connection information. RFQ uses network identifiers to help prevent abuse. Provide relevant information and only share another person’s details when entitled to do so.

3. How we use information

We use enquiries to respond, discuss products and applications, provide technical support, documents or samples, prepare manual quotations and follow up the related business request. We also maintain business records, prevent duplicate or abusive submissions and resolve delivery or technical problems. We use limited enquiry-source information to understand which website pages, referring links and promotional campaigns bring enquiries and to assess their effectiveness.

Submitting either form or allowing RFQ service contact does not authorize separate marketing messages or subscribe you to newsletters or email marketing. Assessing enquiry sources does not expand that contact permission.

4. People, services and copies

Management and sales staff currently handle enquiries in Vietnam. Sales access is for authorized enquiry follow-up; technical maintenance is limited to authorized operations. Records can generate sales emails containing enquiry details. Mail logs, downloaded messages, exports and backups can hold additional copies.

Hostinger provides website hosting and email services. Website hosting is in Indonesia, with the website database associated with that host. Hosting-plan backups are in Singapore. Hostinger describes its email platform as having primary storage in the Netherlands and replication in the United Kingdom; this platform description does not identify every location used for our particular mailbox, its backups or support processing. Information can therefore be processed outside Vietnam.

Local copies of website backups, contact-containing exports and downloaded email are kept on the responsible management person’s computer, in that person’s custody. Their folders are not automatically synchronized to cloud storage. This does not mean that no other copies exist.

If you use Zalo, WhatsApp or another external contact service, its operator also handles what you send under its own privacy terms.

5. Browser storage and external fonts

The website uses local storage, session storage and browsing-history state for product filters/comparisons, RFQ baskets and drafts, application briefs, limited source information and technical compatibility results. Local storage can remain after closing a page; restoring a browser session can preserve session data.

RFQ drafts can save contact details, technical requirements and notes before submission, starting when RFQ opens and without waiting for the service-contact checkbox. English and Vietnamese pages share the draft and basket. Restoring a draft can restore the checkbox state. Previously entered optional fields can remain in the draft after their request type is deselected.

Independent RFQ source recording is off by default. You can choose Allow source analysis, Continue without source analysis or Clear source, separately from service contact. Only our public entry paths, entry position, valid product/application references, referring hostname and campaign source, medium and name are used. Missing information stays unknown; the first source means the first valid record in this period, not your first visit. This is not a complete browsing history and does not permit marketing messages.

After you allow it, the browser period is fixed at seven days from its first valid record, without renewal. Expiry, Clear source or confirmed submission success clears that independent period. A closed or sleeping browser clears it when the website next runs; expired sources are not used for a new submission. A marker without source details remains to prevent old records returning. Continuing without source analysis or clearing source preserves normal enquiries, drafts, product/application context and language. Frozen requests awaiting confirmation are preserved for safe retries; clearing source does not rewrite a request already sent.

Drafts/baskets have a 30-day restoration window from their latest update; product-list state uses two hours and application drafts/transfers use 30 minutes. These are restoration windows, not automatic deletion timers.

Clear Draft removes the RFQ draft/basket when no submission is in progress or awaiting confirmation; it does not clear the independent source period. Confirmed RFQ success clears the draft, basket, pending-submission copy and independent source period, while retaining the marker described above. Neither action clears the random session flow identifier or submitted enquiry, email, export and backup records. An uncertain submission can retain contact/technical details in a temporary session copy and prevent draft editing or clearing until resolved.

Browser controls can clear or block website storage, affecting saved selections and drafts. They do not delete submitted enquiries, emails, exports or backups. Take care on shared devices.

Your browser connects directly to Google to request Google Fonts resources as pages load, before a consent choice. The RFQ contact checkbox does not control all storage or these external requests.

6. Retention targets

Our targets for enquiry records and related copies are:

  • Ordinary RFQ/Contact enquiries: three years from the last substantive business communication about that specific enquiry; use the original receipt date if there is no substantive follow-up. Ordinary requests for quotations are included.
  • Website test records, spam and clearly duplicate test submissions: clear within 90 days of original creation or receipt. Copies inherit the original reference date. Genuine customer follow-up is not duplicate test data.
  • Pure source information linked to submitted enquiries: twelve months from the server’s first successful receipt, without renewal for communication, viewing, export or retry. Earlier enquiry deletion and the 90-day test/spam/clearly duplicate test rule take priority. Only pure source information is handled at this deadline; necessary business records are preserved. Handling is arranged through weekly manual review and per-record action, not an automatic deletion timer.
  • Quotation documents and records required for contracts, orders, invoices, tax, accounting, disputes or other applicable obligations: retain for those obligations. The ordinary three-year target does not override them.

Opening records, automatic acknowledgements, system updates, copying, backups, exports and generic follow-ups without substantive business content do not reset the three-year period. Later classification, copying, forwarding, exports and backups do not restart the 90-day period. Unreliable dates require verification, without inventing dates or automatically deleting on that basis.

These are targets. Systems and copies can retain records beyond them until the relevant removal takes place, subject to applicable requirements. This does not extend the targets or promise immediate deletion from every mailbox or backup. Where backup copies cannot be individually corrected or erased, they must be restricted from ordinary business use. Relevant corrections, deletions or restrictions must be reapplied before restored data returns to use. Browser storage follows the behaviour above, not these enquiry-retention periods. The submitted-source period above is separate from the ordinary enquiry-retention target and the browser source period.

7. Your questions and requests

Email sales@sihecomposites.com to ask about information held about your enquiry, request access or a copy, correction or deletion, withdraw consent, request restriction, object to processing, or raise a complaint and ask about remedies. Include a reference or approximate date where possible, avoiding unnecessary additional personal information.

Requests may require proportionate identity checks. Applicable rights, response and completion requirements, permitted limitations and retention obligations depend on the relevant law and circumstances. Withdrawing consent does not automatically remove every contractual or legal retention requirement.
